Creating a template for frequently used documents & contracts

Templates save time when creating and sending contracts or documents. Use them for standard agreements or frequently used files.

Templates help simplify and speed up the process of creating and issuing documents or contracts. They are perfect for standard documents and agreements that you use regularly. You can create templates for all your standard agreements or frequently used documents. Additionally, you’ll have access to Connie’s ready-made templates, which you can adjust and tailor to your specific needs.

Step-by-Step Guide

1. Go to Templates

You’ll find Templates in the menu on the left-hand side.

2. Click new Template

This button is in the top right corner.

3. Add your content

Insert a prewritten text or start writing your template from scratch.

4. Insert SmartTags

SmartTags handle dynamic content like “Signer Name” or “Signer Phone" or can be used to create checkboxes or other types of form fields. So, use SmartTags to create:

  • Fields that Connie fills in automatically (eg. your company’s address, your name, etc.).

  • Checkboxes.

  • Text fields.

  • Image upload fields.

  • Number fields (eg. for salaries or social security numbers).

  • …and many more.

SmartTags are color-coded for clarity: blue SmartTags are linked to the issuer while green SmartTags are connected to the signer, making it simple to distinguish between the two at a glance.

5. Adjust the layout

Choose from different headline and text styles. Add elements like page breaks, internal notes, single- or multi-select options, and tables.

6. Add general details (right side panel)

  • Public title.

  • Internal title.

  • Template description.

  • Template category.

7. Decide on the signature type

The default is a Simple Electronic Signature.

If you're a Danish, Finnish or Swedish user on a Studio, Professional, or Enterprise plan, you can also select AES (Advanced Electronic Signature) for stronger identification. Then you can sign with MitID (Danish users), Finnish Trust Network (Finnish users), and Swedish BankID (Swedish users).

8. Create a signing workflow

  • Add extra signers if needed.

  • Assign each a title to define their role.

  • Decide whether the issuer must also sign at the end.

This workflow becomes the default for all agreements created with this template.

9. Manage expiry settings

Set a default expiry date for agreements created with this template. You can also allow issuers to override this date when creating an agreement.

10. Decide on child usage and legal threshold

If the agreement should allow parental or guardian signatures on behalf of a child, choose one of the following:

  • Adults only

  • Adults and children

  • Children only

If you include children, set the legal age threshold — the age at which someone is considered an adult and no parental signature is required.

💡 Remember to check your country’s legal requirements.

11. (Optional) Create custom questions

Custom questions let you collect extra information from the primary signer (outside the contract itself). These appear during the signing process and are automatically deleted once the project expires — keeping data GDPR-compliant.

12. Save and publish

Click Save and Publish. Your template is now ready and will appear under Templates in the chosen category.
